MEETING REQUEST INFORMATION



1) Meeting Announcements

The Rules require a Standards Committee meeting to be published in ASCE News a minimum of 30 days in advance of the meeting. According to the Rules, 60 days is preferable, but 30 days is the minimum. Please refer to the table for Meeting Requests & Announcement Deadlines. Any questions regarding the schedule, please contact Phillip Mariscal.

2) Meeting Form

Please use the "ASCE/ EWRI Standards Committee Meeting Form" when organizing any standards committee meeting. This form will provide all the information needed to generate the meeting announcement for ASCE News, produce Travel Authorizations for the control group members, and determine distribution of the agenda. Please use the online form, or make copies of the pdf form, for all future standards committee meetings.

    To ensure compliance with the Rules, simply contact Phillip Mariscal (703-295-6338) for the announcement deadlines, complete the online form or fax a copy of the pdf form with an agenda. Faxes should be sent to 703-295-6132.

    Please remember to plan committee meetings well in advance to avoid missing the ASCE News announcement deadline. If the deadline is missed, the meeting will not be recognized as an official ASCE/EWRI standards committee meeting and hence no official business may be conducted and travel reimbursement might not be authorized by your Council.

    Substitutions/alternates are subject to the approval of staff and must be supplied in writing to the Standards Coordinator 30 days prior to the standards committee meeting date. Substitutions made after 30 days will not be authorized for reimbursement. Committee Chairs/Meeting Organizers are advised to check with the attendees they intend to list to be reimbursed 30 days prior to the meeting date to avoid any substitution complications.

    3) Meeting Location

    ASCE offers no cost meeting room space through the ASCE DC Office and Bechtel Conference Center at the ASCE Reston Headquarters in Reston, VA. Another alternative you may want to consider is holding your meeting at a committee members' work place instead of a hotel.

    4) Committee Expense Authorization & Reimbursement Request Forms

    EWRI has adopted a new policy for distribution of reimbursement forms (Applicable to all Governing Board and Products Development Areas). All Committee Expense Authorization & Reimbursement Request forms for all pre-approved meeting participants will be sent to the Council/Committee Chairs (If Chair does not attend meeting, it will be sent to the meeting organizer) who are tasked with distributing them to the authorized meeting participants at the meeting. An email notification is sent to all authorized meeting participants. Only the people noted in the ?To? section of the email are the authorized to attend the meeting and are authorized to make the appropriate travel arrangements needed to attend the meeting. The email will also indicate the total amount budgeted for the meeting. Those without email will be faxed a copy of the Email Notification/Meeting Confirmation Notice.
